A 35-unit residential portfolio

Essentia House is a real residential block with 35 units. Service charge budgets, apportionment, ledgers and resident communication all run through the system, in daily use by the people managing the building.

What it does

The whole building, in one system

Residents and tenancies
Unit and tenancy records, resident invitations and onboarding, move-in guides, and notice to vacate submitted and processed in the system.
Maintenance
Tickets raised by residents with categories and priorities, assigned to contractors, with replies kept on the ticket and PDF export for records.
Rent and payments
Rent requests per tenancy, card payments in the resident portal, payment confirmation, and charts for what has been collected.
Deliveries and access
Couriers scan a QR code at the front door and the right resident is notified. Visitor, contractor and temporary access requests are approved in the same place.
Facilities and operations
Communal facility status, recurring scheduled tasks such as inspections and servicing, and a contractor directory for the building.
Documents
Documents held per unit, requests sent to residents, and expiring documents flagged before they lapse.
Communication
Announcements with read receipts and acknowledgements, notification preferences, and email sent from the platform with logs, suppression and unsubscribe.
Analytics and assistance
Occupancy, payments, maintenance and engagement reporting, plus an assistant that answers questions from the building's own data.
Staff tools
Staff roles and permissions, an admin audit log, global search, and an agenda and calendar across the building.
Public building site
A resident-facing site with community pages, referrals and enquiry capture, in the building's branding and more than one language.

What it replaced

Spreadsheets and email threads

Before the platform, running the block meant reconciling separate spreadsheets, chasing figures by email and re-entering the same data more than once. There was no single source of truth for what had been billed, paid or actioned.
